Video Sessions (?page=video-sessions) lists every recorded or recordable telehealth (Zoom) consultation, with playback and AI transcription in one place. Doctors see only their own sessions; admins see all.
How recording works depending on Zoom plan
Cloud recording (Zoom Business+ accounts) — sessions play back inline, and the transcript is pulled automatically from Zoom's native captions (VTT) via webhook — no extra steps needed.
Local recording (Zoom Free/Basic accounts) — Zoom saves the recording to the doctor's own computer; the doctor uploads the MP4 file here, and it's auto-transcribed using the built-in speech-to-text service.
Step-by-step
Go to Video Sessions.
Find the consultation in the list (sorted by most recent appointment).
For cloud-recorded sessions: click to play inline and view the transcript.
For local recordings: use Upload Recording, select the MP4 file, and wait for transcription — large files are processed in chunks.
Review/edit the transcript for accuracy.
Click Save as Clinical Note to attach the reviewed transcript to the patient's chart.
Common issues & fixes
check whether recording was actually enabled for that Zoom meeting; local-recorded files must be manually uploaded, they don't appear automatically.
always review before saving as a note; accuracy depends on audio quality and background noise.
large video files are chunked automatically; a slow connection will still take time, don't refresh mid-upload.
if a session was recorded but not yet uploaded, the Appointments page shows a reminder banner until it's processed.
