Understanding Roles & Permissions

MindFlow uses role-based access control (RBAC). Every staff account is assigned a role (e.g., Psychiatrist, Nurse, Front Desk, Admin, or a custom role), and each role has a set of granular permissions grouped by module. Access to almost every page and action in the app checks one of these permissions.

Found at Settings → Roles (?page=roles), requires manage_users permission.

Permission groups

  • Patients — view/edit/delete patients, view clinical notes
  • Appointments — view/manage appointments
  • Clinical — prescribe medications, view medications, record vitals, view/review lab reports, view/manage assessments
  • Lab Module — order tests, manage catalog, collect samples, enter/verify results, manage QC, referrals, lab settings
  • AI Features — view AI sessions/insights, generate AI reports
  • Finance — view/manage billing, process refunds, confirm cash deposits
  • Administration — access settings, manage users
  • IPD Module — admissions, discharge, progress notes, nursing charts, ECT register, NDPS register (read/write), MHCA documents, incidents, IPD settings
  • Therapy Module — view/manage therapy programs, supervision records
  • De-addiction Module — patient registration, OAT dispensing, UDS results, NDPS register, admissions, progress notes, nursing/withdrawal charts, incidents, MHCA documents, compliance settings
  • Store Module — manage store products/orders/returns/settings

Managing roles

  1. Open Settings → Roles.
  2. Create a role: name it, optionally clone permissions from an existing role.
  3. Edit permissions: toggle individual permission checkboxes per group, then save.
  4. Rename a role: updates the label everywhere it's referenced.
  5. Delete a role: only allowed after migrating any users currently on that role to a different one.

Common issues & fixes

check their role has the relevant permission (e.g., manage_billing for creating invoices).
reassign its users to another role first.
